Retreat Terms & Conditions
1. Who we are
Yoga X Life Retreats is operated by Yoga x Life Retreats Ltd, registered in the United Kingdom, with registered address; Collingwood Buildings, 38 Collingwood Street, Newcastle Upon Tyne, England, NE1 1JF. and company number 13968813 (referred to as “we”, “us” or “our”). By booking a retreat with us, you (“you”, “guest”, or “participant”) agree to these Terms & Conditions, which form a legally binding agreement between you and us.
2. Booking and contract
A place on a retreat is secured only once we receive your completed booking form and the required deposit or full payment, and we confirm your booking in writing (usually by email).
The person making the booking confirms that they are at least 18 years old and are authorised to accept these Terms on behalf of all persons named in the booking.
By paying a deposit or full balance, you acknowledge that you have read, understood, and agree to be bound by these Terms & Conditions.
3. Prices, what’s included, and what’s not
Your retreat price and what is included (e.g. accommodation, meals, yoga sessions, excursions) are set out on the specific retreat information page on our website or booking materials.
Unless explicitly stated, prices do not include flights, travel insurance, visas, airport transfers, optional excursions, or any personal expenses.
We reserve the right to change prices at any time before you book. Once your booking is confirmed, your price will not change, except in the case of obvious error.
4. Payments and due dates
A non‑refundable deposit per person is payable at the time of booking, unless otherwise stated in the retreat description.
The remaining balance is due no later than 4 weeks before the retreat start date, although we reserve the right to amend this time period on a per retreat basis. Specific due dates will be confirmed at the time of booking.
If we do not receive your balance by the due date and you have not contacted us, we reserve the right to treat your booking as cancelled and to retain your deposit and any instalments already paid in line with our cancelation policy.
5. Your responsibilities
You are responsible for ensuring that you have a valid passport, visas (if required), and any health or vaccination certificates needed for travel.
You agree to provide accurate, complete information on your booking form, including any medical conditions, injuries, allergies, or mental health considerations that may be relevant to your participation.
You are responsible for arranging adequate travel insurance that covers health care, medical emergency, personal property, and trip cancellation for the full duration of the retreat; we strongly recommend purchasing this at the time of booking.
6. Health, fitness and participation
Yoga and movement practices, breathwork, and any excursions (such as hikes or swims) carry inherent risks. By attending, you confirm that you are physically and mentally fit to participate and that you take full responsibility for your own health and wellbeing during the retreat.
Our teaching team will offer options and modifications, but practice and participation are always at your own discretion. You agree to listen to your own body and to stop any activity that causes pain or discomfort.
We are not medical professionals and our retreats are not a substitute for medical or psychological care. If you are under medical supervision or taking medication, please consult your doctor or healthcare provider before booking.
7. Changes made by you
If you wish to transfer your place to another person, you must notify us in writing as soon as possible. We may allow a transfer at our discretion, provided the new participant meets all requirements and agrees to these Terms; an administration fee may apply.
Any requests to change room type, add nights, or modify your booking are subject to availability and may incur additional charges.
8. Changes made by us
We plan retreats many months in advance. Occasionally, we may need to make minor changes (for example to the teaching schedule, instructor team, or yoga styles) and will always endeavour to keep the spirit and quality of the retreat intact.
In exceptional circumstances beyond our control (for example, natural disaster, political unrest, pandemic restrictions, severe illness or bereavement of a key facilitator, or failure of a third‑party provider), we may need to significantly change the retreat venue, dates, or content.
If we change the dates or location of a retreat, you will be offered:
a transfer to the new dates/location, or
a credit towards a future retreat, or
a refund in line with our cancellation policy if a suitable alternative cannot be offered.
9. If we cancel a retreat
It is unlikely that we will cancel a retreat, but we reserve the right to do so.
If we cancel for reasons within our control (for example, insufficient bookings), you will receive a full refund of all payments made to us for that retreat.
If cancellation is due to events beyond our control (force majeure, including but not limited to war, civil unrest, epidemic, natural disaster, industrial dispute, new government restrictions, or other events making it unsafe or impossible to run the retreat), we will offer either a transfer to a future retreat or a credit note; a cash refund may not be possible in these circumstances.
10. Behaviour and conduct
We aim to create a supportive, respectful retreat environment. We reserve the right to refuse participation or ask any guest to leave the retreat, without refund, if their behaviour is disruptive, abusive, or unsafe to themselves or others.
You agree to follow local laws and regulations in the host country, and to respect the retreat venue, other guests, staff, and the local community.
11. Liability
We will exercise reasonable care and skill in providing the retreat, but we are not liable for:
any injuries, illnesses, or medical conditions (physical or mental) that occur during or after the retreat, unless caused by our negligence;
loss, damage, or theft of personal property;
third‑party services, including transport, external excursions, or accommodation not booked directly through us.
Nothing in these Terms limits or excludes our liability for death or personal injury resulting from our negligence, or for any other liability which cannot be excluded under applicable law.
12. Complaints
If you have a concern during the retreat, please speak to one of the instructors or coordinators as soon as possible so we can try to resolve it during your stay.
If you remain dissatisfied, you may submit a written complaint to contact@yogaxlife.com within 14 days of the retreat end date. We will acknowledge receipt and follow our internal complaints procedure.
13. Governing law
These Terms & Conditions and any dispute arising from them are governed by the laws of England and Wales, and the courts of England and Wales shall have exclusive jurisdiction.
